Fill out and sign PDF forms in Preview on Mac

  1. In the Preview app on your Mac, open the PDF form.
  2. Click a field in the form, then type your text.

If a PDF won’t allow you to type directly into the form, you can add a text box instead. Click the Show Form Filling Toolbar button , then click .

Insert contact information in PDF forms

With macOS 14.2 or later, you can use enhanced AutoFill to fill in PDF forms with names, addresses and other contact information.

Note: Not all PDFs support this feature.

  1. In the Preview app on your Mac, open the PDF form.
  2. Do one of the following:
  3. Click your name in the pop-up menu that appears. Matching contact information is filled in from the Contacts app. See Set up your My Card in Contacts on Mac. To enter another person’s information, click Choose Other, click the person’s name, then click any detail in their contact information.

Create and use signatures

To sign PDFs, you can capture your signature using your trackpad, the built-in camera on your Mac, or your iPhone or iPad.

  1. In the Preview app on your Mac, click the Show Markup Toolbar button (if the Markup toolbar isn’t showing), then click the Sign button .
  2. If you want to use an existing signature, skip to step 4.
  3. Do one of the following:

If you use VoiceOver, the built-in screen reader on Mac, you can add a description of a signature when you create one. This is especially useful if you create multiple signatures and need to distinguish between them to ensure you use the intended signature. Before you click or tap Done, click the Description pop-up menu, then choose a description, such as Initials, or choose Custom to create your own description.

If you use iCloud Drive, your signatures are available on your other Mac computers that have iCloud Drive turned on.

Reply to an email with a PDF attachment

  1. In the Mail app on your Mac, double-click a PDF attachment to open it in the Preview app .

Note: If the PDF opens in a different app, close the file. Control-click the icon, choose Open With, then choose Preview. See Choose an app to open a file.

Delete a saved signature

  1. In the Preview app on your Mac, click the Show Markup Toolbar button (if the Markup toolbar isn’t showing).
  2. Click the Sign button , position the pointer over the signature, then click the X to the right.

The signature is deleted from all apps that use Markup on your Mac computer. If you have iCloud Drive turned on, the signature is also deleted from your other Mac computers that use iCloud Drive.
